Structure and file basics
- Use recognizable headings such as Experience, Education and Skills.
- Keep dates, employers and job titles easy to identify.
- Avoid placing essential information only inside decorative graphics.
- Follow the employer’s requested file format and naming instructions.
Relevance and language
Read the job description for recurring responsibilities, tools and outcomes. Use the same accurate terminology when it genuinely describes your experience. Do not insert keywords for skills you do not possess.
Prioritize the requirements that appear central to the role rather than trying to repeat every phrase.
Achievement evidence
- Replace duty-only bullets with the action, context and result when possible.
- Use numbers only when they are accurate and meaningful.
- Make the first words of each bullet informative rather than repetitive.
- Remove claims that cannot be explained with a real example.
Final human review
Open the exported file, copy and paste the text into a plain document, and check that the reading order still makes sense. Then read the resume as a hiring manager: can the reader understand your value in less than a minute?
Run a plain-text extraction test
Copy the finished resume into a plain-text editor and confirm that headings, employer names, dates and bullets remain in a logical order. This does not reproduce every applicant-tracking system, but it can expose text boxes, columns, icons or decorative elements that interrupt basic extraction.
Keep the source document so a simpler one-column version can be produced quickly when an employer requests a different format.
Audit every keyword against evidence

- Place important skills in context instead of creating an unsupported keyword block.
- Remove claims you could not explain in an interview.
